Policy Statement
The intention of this policy is to explain the types of student data available to the public and the difference between Directory and Limited Directory Information.
Purpose/Authority
South Central College’s policy is to identify student information available to the public in accordance with the Family Educational Rights and Privacy Act (FERPA). Directory information is a category of student data that would not be considered harmful or an invasion of privacy if released to the public. Directory information can be disclosed to the public without a student’s prior written consent. South Central College also employs a Limited Directory Information category that defines student information that can be released without consent in specified circumstances. With the exception of directory information, all data of a public, private, or confidential nature that students are requested to supply to the College are for the sole use of the College for performing administrative, managerial, counseling, and reporting functions. A student may refuse to supply requested data, but such refusal may result in ineligibility for specific rights or services.
Scope/Applicability
This policy applies to all South Central College students. The definitions of Directory and Limited Directory Information are reviewed annually by the Cabinet and Data Governance Council and may be updated at that time. Should the definitions be changed, students will be provided notification and an opportunity to suppress their information.
Definitions
Directory information consists of student name, program major, dates of attendance (including graduation date), honors and student status (enrolled, graduated, withdrew, part-time, full-time). These data may be released to the public without prior consent, unless students have opted to suppress their information.
Limited Directory information consists of permanent and local physical addresses, telephone numbers, SCC and personal email addresses, date of birth, STAR ID, and student ID number. Email addresses and STAR ID are approved for use in the Office 365 Global Address list. Note that full functionality of Office 365 may not be available when Limited Directory Data are suppressed. Physical and email address, phone numbers, date of birth, STAR and student IDs are approved for use in the Aviso Retention Connect student engagement software. Physical addresses are approved for use for in carrying out official South Central College student and alumni services and functions
